Use User Master

User Master

User Master manages the rights and authorizations given to the users. Admin can add, edit and delete users. The admin user has all the rights and can block any user or delete any process. The users require permissions from the admin user to access specific features in Innowera Web and Mobile Server. To view the User Master page, go to Admin > User Master. The User Master page displays the license information that includes the total number of licenses available, number of licenses in use, and number of remaining licenses.

Note: The number of active users of a license are marked Active, and the number of users who exceeds the user count limit of license are marked Inactive in User Master Page. This is also applicable in Bulk User Insertion.

The following admin operations can be done in User Master page.

  • Add New User: Allows you to add a new IWMS user.
  • Add AD User: Allows you to add multiple users or user groups of your Windows domain to Innowera Web and Mobile Server.
  • Refresh: Allows you to refresh the list of users displayed on the User Master page and also update the background changes that may occur on the other nodes of Innowera Web and Mobile Server.
  • Deleted (selected): Allows you to deleted a selected user.
  • Add Bulk Users: Allows you to add multiple users at a time by uploading the Bulk User Data Template.
  • Download Bulk User Data Template: Allows you to download the Microsoft Excel template for adding multiple users.

User Name

Displays the name of the user.

Access Type

Displays the access permissions of a user.

Role Name

Displays the 'Role Name' that is assigned to a user.

Last LoggedIn

Displays date and time the user last logged into Innowera Web and Mobile Server.

Windows User

Displays whether the user is a Windows domain user or not.
Expiry Date Displays the license expiry date.

Assign ProcessApp

To assign or block ProcessApp to the particular user.

Edit

To edit listed User setting.

Delete

To delete particular user from the table

Copy

To add new user with same attributes from existing user

You can filter the records by parameters such as access types option or expiry date.

Add New Users

The Add New User option enables you to add a new user to Innowera Web and Mobile Server. The Add AD User option allows you to add multiple users and users from user groups in your Windows domain to Innowera Web and Mobile Server.

This section explains how to create a new user in Innowera Web and Mobile Server. You can create a new user or add a user from a Windows domain.

To create/add a user,

  1. Go to Admin > User Master. The User Master page appears.
  2. Select Add New User. The Add New User page appears.
  3. In Basic Settings, do the following:
    1. Select IWMS User to create a new user. Alternatively, select Window Authentication to add user from a Windows domain.

      Note: If Windows Authentication is disabled in IIS, Windows Security dialog box is displayed when you select Windows Authentication and try to validate the user in the Windows domain. In the Windows Security dialog box, enter the domain credentials and select Ok to validate the user. A message appears stating that the selected user is available in the domain.

    2. Enter username for the user
    3. Enter display name for the user.
    4. Enter email address of the user.
    5. Enter password in Password and Confirm Password boxes.
    6. Select Access Type to activate or inactivate the user.
    7. Select Account Expiry Date when you want the user to become inactive.
    8. Select Password Expire days after which the user must change the current password. Alternatively, you can select Never if you do not want the password to expire.
    9. Select Role for the user how you want the user to access the application.
  4. In Other, do the following depending upon what permissions you want the user to avail:
    1. Select Auto Assign All Process App(s) to assign all the process apps to the user. To know more, see Assign Process App.
    2. Select Allow API token(s) to allow the user to create API token.
    3. Set Back Office For Current User: Use this option to share a process file with other Innowera Web and Mobile Server users. Sharing a file allows other selected users to edit the shared process file.
      • To set back office, select Set Back Office For Current User and select the users from Assign Back Office Users list to whom you want to provide permission to edit the shared process file.
  5. In Innowera Easy Workflow Settings, do the following:
    1. Select Map Innowera Easy Workflow User if you want to map Easy Workflow user with the Innowera Web and Mobile Server user.
    2. Enter Easy Workflow user's User Name and Password.
    3. Select Validate User to verify and add the Easy Workflow user.
  6. Note: Innowera Easy Workflow Settings is available only if Easy Workflow Settings is enabled in Innowera Web and Mobile Server.

  7. Add Default Values: This option allows you to create custom fields.
    • To add a default value, select add and enter field name, value, and description.
  8. Note: User must run a customized code to use these default values.

Add AD User

This section explains how to add multiple users and users from user groups in your Windows domain to Innowera Web and Mobile Server.

To add multiple users, users from user groups

  1. Select Add AD User. The Add Domain User page appears.
  2. Enter domain name in the Domain box.
  3. Note: If the authentication is set to Windows authentication in IIS, the domain name is displayed automatically.

  4. In the Search In box, select User, and then select Search. A Confirmation dialog box appears.
  5. Select Yes. The list of users in your domain appears. If you select Group, enter the name of the group in the box beside the drop-down list box, and then select Search. The list of users in the selected user group appears.
    • Alternatively, you can select the Get Group List button and select a group from the Select Group dialog box.
  6. Note: If Windows authentication is disabled in IIS, Windows Security dialog box is displayed when you select Search. Enter the domain credentials and select Ok to get the list of users.

  7. Select the required users from the list and select Add. A message appears indicating that the users have been added, and their active or inactive status information is also displayed.

Operations on User

This section will provide guidelines on various operations that can be performed on created user.

Refresh

Select Refresh to update the background changes made by other super users.

Delete

This option enables deleting users from the list. Select the users to be deleted and select Delete or delete icon to delete them individually. SelectYes in the Confirmation screen to delete user and their related records.

Edit

  1. Select the edit icon to edit the user details (The edit window is same as that of 'Add new User').

  2. Select Update to save the settings.

Add Bulk Users

  • Add bulk user is the function that is used to upload the excel data template to Innowera Web and Mobile Server.

  • This option allows you to create Bulk users in Innowera Web and Mobile Server by uploading excel spreadsheet with all the required details. The excel file template is available by clicking Download Bulk User Data Template.

    Note: List of users that count towards the license will be marked Active and users exceeding the limit (User count exceeded) will be displayed 'Inactive' in User Master page.

Download Bulk User Data Template

Bulk users can be added to IWMS simultaneously through 'Add Bulk Users' though before proceeding, administrator has to download the excel sheet of 'User Data template'. In this excel data sheet, admin shall fill details and set permissions of multiple user names and thereafter go ahead for adding bulk users.

In order to retrieve user data template perform the following steps:

  1. Go to Admin >User Master.
  2. Select Download Bulk User Data Template.
  3. Save the file on the local machine and add multiple new users to the file.

  4. Now open the file and feed the entries of new users and their respective details- thereafter upload the same through Add Bulk Users

Assign Process App(S)

Assign Process App is used to authorize roles with Process App's. User is assigned with Role and only the process apps which are nominated in that role can be accessed by the user.

  • Select Assign-Pro-icon of the corresponding Role which is to be assigned with Process App.

Select the level of Assigning whether User or Role.

User/Role Name:

Select a particular User/Role (as per selected above in Assign Level).

Process Assignment:

The Process inAvailable Processwill be blocked and Process in Assigned Process will be allowed and vice-versa.

Save:

Select Save to save the changes.

Cancel:

Select Cancelto exit without saving the changes.
