Work with EShare Admin View

The EShare Admin View feature is aimed at admin users involved in the use and management of EShare files. This is where the EShare Admin can change the owners of the file, reset, or remove file passwords and even remove file locks set on the EShare files which are owned by other users. EShare admin user is also enabled to perform other actions like renaming and deleting EShare files, changing of file permissions of other users. EShare Admin option is available only for Service Configuration and Database Configuration connection types.

To open EShare Admin View,

  1. Go to Open from EShare window.
  2. Select View Options > EShare Admin and log in using password. Please create a support case on Salesforce to request default admin password. If default password has changed during EShare installation, contact the person who installed EShare for you.
  3. Note: Do not distribute your login information. This is for administrative purposes only.

  4. Open from EShare - [Admin View] window appears.

  • Changing File Ownership

    If you are an administrator, you can assign ownership of a file to another user by completing these steps:

    1. Select one or more files you need to change the owner and select Set File Owner option from drop-down menu of Admin Options.

    2. Enter the Windows User ID. You can also validate the user ID against Active Directory.

    3. Select OK. In the Confirm Set Owner dialog box select Yes.

      The ownership of the file is displayed.

  • Reset or Remove file password

    Admin user can reset or remove a password if any users password protect the file.

    1. Select a password protected Process file and select Admin Options > Reset File Password.

    2. To reset the password, select Reset File Password, enter the new password, and click OK.

      • To remove the password, select Remove File Password, and click OK.

      • To remove the file lock, select Also remove file lock.

  • Change Admin Password

    Process Runner users, with administrator rights can change the admin password from Open File from EShare - Admin View > Admin Options. Following are the generic steps to change the Admin password.

    1. Select Admin Options > Change Admin Password.
    2. At the Change Admin Password window, enter the required details.
    3. Confirm the new password at Confirm Password field and select OK.

  • View EShare File History / Disable EShare File History

    >Process Runnerusers can view the EShare file history from Open from EShare window. However, the EShare file history can be enabled or disabled from the admin view. If the EShare file History is disabled, the changes will be overlapped on EShare file and on contrary the original EShare file will not be saved in history.

    Following are the generic steps to disable file history from Admin View:

    1. Select Admin Options > Disable EShare File History.
    2. Select Yes to confirm the operation at the warning prompt.

    Following are the generic steps to view the EShare file history.

    Ensure to exit EShare Admin view to see the EShare File History of any EShare file. Click Exit EShare Admin.

    1. Right click the file for which the EShare file history is to be viewed.
    2. Select EShare File History to display the history of the corresponding file as shown in the image below:

  • Set EShare File Size

    User with administrator rights can set the maximum file size for EShare files.

    Following are the generic steps to Set EShare file size from Admin View.

    1. Start Process runner enterprise.
    2. Select Open from Eshare.
    3. Select Admin Options > Set EShare File Size from the drop down menu.
    4. Set the maximum file size of Eshare file, select OK.
    5. On the confirmation pop-up window, select Yes as shown below.

  • Allow to enable/change EShare Tag

    This option allows EShare Admin user to change/update EShare tag without using database installation tools.

    Following are the generic steps to change/update EShare tag from Admin View.

    1. Select Admin Options > Manage EShare Tag from drop down menu.
    2. Enable the check-box of EShare tag and enter the custom field name with its description.
    3. Confirm the operation by clicking OK at information prompt.

  • Renaming of file

    EShare Admin can rename the files of other users.

  • Deletion of file

    EShare Admin can delete files that are owned by other users.

  • Change file permission

    EShare Admin can change the permission set on the files.

  • Edit Special Fields (Tags)

    EShare Admin can edit Special Fields (Tags) of the EShare files.

    These special fields are tags that are displayed in the grid columns of Open from EShare - [Admin View] window as shown in the following screenshot:

  • Exit EShare Admin View

    Select Exit Share Admin in the toolbar to exit from Admin view.
