Manage Workflow Groups

A workflow group consists of a list of workflow groups that can be assigned to any individual user. These groups can be created for several stages and for different departments in an organization. The user can access only those workflows that are included in the assigned workflow group.

The Workflow Groups option in Easy Workflow Cockpit is enabled only if the Manage workflow definition and workflow groups option is selected for your user role.

You can use the Export to Excel option to export the details about the workflow groups, such as when and who last updated the workflow group, to an Excel workbook. You can use the Show Filter Row option to filter data by entering text in a column and the Show Find Panel option, which is available when you right-click a column header, to search for text in the Workflow Groups window. Also, you can right-click the column header and customize the columns that appear in the Workflow Groups window using the Column Chooser or Hide This Column options.

Add or Edit Workflow Groups

This topic describes how to add or edit a workflow group in Easy Workflow Cockpit.

To add or edit a workflow group,

  1. In Easy Workflow Cockpit, select Manage > Workflow Groups. The Workflow Groups window is displayed.
  2. To add a workflow group, select Add. A new row is displayed in the Workflow Groups window.
  3. To edit a workflow group, select the workflow group that you want to edit, and select Edit. The workflow group name for the selected workflow group is highlighted in the Workflow Groups window.
  4. Enter the name of the workflow group.
  5. To make the workflow group active, select the Active checkbox. By default, this checkbox is selected. The workflow group is added and is active; when you are adding or editing a workflow, the workflow group is displayed in the Member of Workflow Group(s) dropdown menu of the Workflow Designer window.

  6. Select Refresh.The workflow group list is refreshed.

Delete Workflow Groups

This topic describes how to delete a workflow group in Easy Workflow Cockpit.

To delete a workflow group,

  1. In Easy Workflow Cockpit, select Manage > Workflow Groups. The Workflow Groups window is displayed.
  2. Select the workflow group that you want to delete and select Delete.
  3. If the workflow group has workflows associated with it, perform the following steps in the Workflow Group Validation window:
    1. Select Show Detail. The workflows associated with this workflow group appear.
    2. Select OK.
    3. Remove the workflows from the workflow group and delete the workflow group. The workflow group is deleted.
  4. If the workflow group is not associated with any workflows, select Yes in the Delete Workflow Group window. The workflow group is deleted.

Manage Workflow Groups

This topic describes how to manage a workflow group in Easy Workflow Cockpit.

To manage a workflow group,

  1. In Easy Workflow Cockpit, select Manage > Workflow Groups. The Workflow Groups window is displayed.
  2. Select the workflow group for which you want to manage workflows, and select Manage Workflow(s). The Manage Workflow Group assignment window is displayed.
  3. Select the workflows that must be added to or removed from the particular workflow group.
  4. Select Ok or Apply. The Save Confirmation dialog box is displayed.
  5. Select Yes. The selected workflows have been added to or removed from the particular workflow group.
  6. Optionally, select Export. An Excel workbook is generated with the names of the workflows in the workflow group.
