Approve or Reject Workitem Using Email Runner
Users can approve or reject work items by replying to notification emails received on the assignment of work items. The workflow steps are processed only if Easy Workflow is paired with Email Runner.
To approve or reject a workflow using Email Runner
- In Easy Workflow Cockpit > Emails > Email Settings window, perform the following steps:
- Enable Allow approval or rejection from email. For information about this option, see Configure Email Settings.
- Copy the unique pairing ID and enter this ID in Email Runner. Email Runner is paired with Easy Workflow.
- In Easy Workflow Cockpit > Emails > Workflows, open the workflow for which the approval or rejection through Email Runner must be enabled, and then perform the following steps:
- Enable Allow Approve/Reject from Email option for the workflow step.
- (Optional) Enable Send File as an Attachment if the Excel file must be sent with the email notification.
- Start the workflow on a file. The user who is assigned the workflow step receives an email notification that consists of the Email Runner details as highlighted in the following screenshot.
- As a user who received the workflow notification, you must type Approve or Reject or any other keyword that is configured in Email Runner, and send this email to the address configured in Email Runner. Do not remove the highlighted section.

Email Runner reads the keyword and takes appropriate actions based on the keyword settings in Email Runner.
- The workflow is then moved to the next step as defined in the workflow definition.
Note: If the workflow administrator has provided custom labels for approval or rejection of a workflow step, you must type the custom label instead of Approve or Reject.
