Manage Keywords

Email Runner is availed with keywords functionality through which administrator can configure custom keywords to trigger the further action with reference to reply to the email.

Manage Accept/Reject Keywords

Administrator is allowed to specify keywords for Approve or Reject action and also set keywords to comment for Easy Workflow mails. Keywords for getting Engine information using GETFORMAT option also allowed.

User can enter the keywords, select the action from the Outcome dropdown and save the settings. Keywords added or deleted will take effect from that moment and does not require restart of Email Runner service. Mails consisting any of the keywords in its body, Email Runner matches them with keywords specified in this section. If a match is found then respective action on that task is performed. For example, if ‘App’ is found in the mail body then based on the keyword settings, ‘Approve’ action will be performed.

This functionality is used only for below mentioned engines:

  • SAP Workflow
  • Easy Workflow
  • Custom

Note: The keywords specified for getting engine details are to be used in subject line of the email and not in the email body.

When specified in subject line, the engine details are sent by Email Runner as shown in following screenshot.

Manage Ignore Keywords

This function is used to ignore emails where the allotted keywords are assigned by the administrator and upon discovery of such keywords the emails are automatically ignored.

  • Ignore Subject: When this option is selected, the keywords are to be allotted that are searched in the email subject. Once the allotted keyword is discovered in the email subject, the email is automatically ignored or skipped.
  • Ignore Body: When this option is selected, the keywords are to be allotted that are searched in the email body. Once the allotted keyword is discovered in the email body, the email is automatically ignored or skipped.
